1Check what you need
A new mailbox is a separate address, password and storage for one person. You don’t always need one.
- A new person with their own address and password - a new mailbox, which is this guide.
- Another address in an existing mailbox, for example billing@yourcompany.com - an alias, no new license. The questions at the bottom of the page show how to add one.
- Someone’s mailbox is running out of space - a storage add-on for that person, no plan change.

2Open your profile
Sign in to Zoho Mail and click your profile picture in the top right corner. You need an admin account, for example the one you bought the email with.
Check the source: Zoho help on the Admin Console, as of October 22, 2026 (opens in a new tab)
3Open the Admin Console
In the panel that opens, click “Admin Console”.
- Only admins see this option.
- The same panel has “Subscription”, which you need if you buy a license.
- You can also open the Zoho Admin Console (opens in a new tab) directly.
4Check that you have a free license
On a paid plan, every mailbox needs its own license. In the Admin Console, open “Users” and click “Summary”.
- You will see how many licenses your plan has, how many are used and how many are available.
- One is available? Go to step 6.
- All are used? Buy a license in step 5.

5Buy a license if you need one
In the profile panel from step 3, click “Subscription”, then above your subscription details choose “Upgrade User/Add-Ons”.
- In “Additional users”, enter how many new mailboxes you want, for example 1, and click “Proceed”.
- Zoho shows the amount only for the time left until your plan renews. Check it and click “Proceed to Pay”.
- Complete the payment. Once it goes through, the new license appears in your account.

6Add a user
In the Admin Console, choose “Users” in the left pane and click “Add” at the top.
- “First Name” and “Last Name” - for example Anna Smith, or a team name such as Sales.
- Username - the part of the address before @, for example sales. Zoho fills it in, and you can change it.
- If you have several domains, choose yours from the list next to @, for example yourcompany.com.

7Set a password and create the mailbox
Enter a password or click “Auto-generate”, then click “Add”.
- The password needs at least 8 characters, including a number and a special character.
- Check “Force user to change password on first login”, so only that person knows the password.
- “Send credentials via email” - if you want to send the sign-in details to another address of that person.
- If the form shows “Select Role”, keep “User”, not “Administrator”.

8Sign in to the new account
Open Zoho Mail (opens in a new tab) and click “Sign In”.
- Enter the full address of the new account, for example sales@yourcompany.com, and the password from the previous step.
- It is a separate account with its own password, independent of your hello@ account.
- Already signed in as hello@? Open the new account in a private (incognito) window, so Zoho doesn’t sign you in to the existing account.
- If you checked the password change on first login, Zoho asks for a new password right away.

Has the new mailbox been added yet?
No rush. Go back to the list of steps or email us: we’ll go through it together.
Done. The new mailbox works. If the sign-in details were not sent by email, give them to that person yourself. At the first sign-in they will set their own password.
Questions about new mailboxes in Zoho
How much does another mailbox cost?
Every mailbox on a paid plan is a separate license. Mail Lite costs $1 per user per month with 5 GB or $1.25 with 10 GB, billed annually. If you add a license during the year, you pay only for the time left until your plan renews. Prices as of October 13, 2026. Prices may change. When should I buy more storage, and when should I change the plan?
If your plan is enough but one or a few people are running out of space, buy a storage add-on. You assign it to one person, and it enlarges only their mailbox, without changing the plan for the whole company. For several people, buy several add-ons. Example: you have 3 mailboxes on Mail Lite and one person needs 50 GB more. A 50 GB add-on for $5 a year is enough. Choose a higher plan only when you need its features, for example an email archive or office apps. Start with the cheapest plan that has everything you need, and add storage only for the people who need it. Prices as of October 13, 2026. Prices may change. | Storage add-on | Price per year |
|---|---|
| 10 GB | $1 |
| 25 GB | $2.50 |
| 50 GB | $5 |
| 100 GB | $10 |
| 200 GB | $20 |
| Plan | What each person gets |
|---|---|
| Mail Lite | 5 GB or 10 GB for email. From $1 per user per month, billed annually. |
| Workplace Standard | 30 GB for email, plus WorkDrive storage, Writer documents, Sheet spreadsheets, Show presentations and Meeting. $3 per user per month, billed annually. |
| Mail Premium | 50 GB for email and 50 GB for the archive with search (eDiscovery), attachments up to 40 MB instead of 30 MB. $4 per user per month, billed annually. |
How do I add an alias, another address in the same mailbox?
In the Admin Console, open “Users” and click the person who should get these emails. In the left pane, choose “Mailbox Settings” → “Email Alias” and click “Add”. Enter the start of the address, for example billing, choose the domain and click “Add”. Emails to billing@yourcompany.com then arrive in that mailbox, and that person can also send from the address. An alias is not a separate mailbox, so it doesn’t use a license. Check the source: Zoho help on user settings, as of October 22, 2026 (opens in a new tab)
What if someone forgets the password to their mailbox?
As an admin, you set a new one. In the Admin Console (opens in a new tab), open “Users” and click that person. In the left menu, choose “Security” → “Change Password”, enter the new password twice, check “Force user to change password on next login” and click “Change”. Zoho may ask for your own admin password first. Check the source: Zoho help on password reset, as of October 22, 2026 (opens in a new tab)
Can the new person be an administrator?
They can, but usually they shouldn’t. Administrators can open the Admin Console with the email settings of your whole company. Regular employees only need the “User” role.
When will the new mailbox start receiving email?
Right away if your domain’s email already runs on Zoho. If your domain has not been switched to Zoho yet, the new person can sign in and send email but won’t receive any until we update your domain’s MX records. Check the source: Zoho help on adding users, as of October 22, 2026 (opens in a new tab)
I don’t see “Admin Console”. What should I do?
Only admins see it. Sign in with the account the email was bought with, or ask the person who manages email in your company for help. Check the source: Zoho help on the Admin Console, as of October 22, 2026 (opens in a new tab)
